Appoint one project owner

Give one person authority to confirm the asset list, site access, timing and service scope. They should also know who can approve exceptions when the collection team finds unlisted equipment.

Separate assets by data risk

Distinguish computers, servers, phones and storage media from monitors, keyboards and other non-data-bearing equipment. Flag devices subject to legal hold, investigation or internal retention rules.

Record practical collection details

Document floor access, lifts, loading restrictions, parking, security sign-in, opening hours and any equipment that needs two-person handling. These details influence timing and collection eligibility.

Agree the evidence before collection

Decide whether you require asset lists, chain-of-custody records, destruction certificates or exception reporting. Include the agreed fields and delivery times in the written scope.

Reconcile after the handover

Compare the collection record with your internal inventory, investigate differences and close the project only when retained and removed assets are both accounted for.
